Privacy Policy

This Privacy Policy explains what personal data PingArk collects, why we collect it, how we use and protect it, and the rights you have over it. PingArk is a cron and scheduled-task monitoring service: your jobs send us a small signal when they run, and we alert you when one goes quiet. We collect the minimum needed to run that service, we host your data in Europe, and we do not sell it.

Who we are

PingArk is operated by Virtueplanet Services LLP ("PingArk", "we", "us"). We are the data controller for the personal data described in this policy. If you have any question about how we handle your data, or you want to exercise a right below, write to us at privacy at pingark dot com .

What we collect

We collect only what we need to run your monitoring, bill your plan, and support you.

  • Account data: your email address, your name, and a hashed password. We never store your password in readable form.
  • Monitoring data: the checks and schedules you create, the pings your jobs send us, their timestamps, exit codes, durations, and any body or log text you choose to send with a ping.
  • Billing data: a customer reference and card metadata held by our payment provider. We never see or store full card numbers.
  • Support data: the messages you send us through support tickets or the contact form, so we can reply and keep a record of the conversation.
  • Technical and usage data: your IP address, browser and device information, and server logs, collected automatically when you use the site and the app. This helps us keep the service secure and working.

Please do not send us sensitive personal data inside a ping body or a support message. A ping is meant to carry operational detail about your job, not personal information about other people.

How we use it

We use your data to:

  • run your monitoring and work out when a check is late or down;
  • send you the alerts and recovery notices you have set up, on the channels you have chosen;
  • email you about your account, your alerts, and replies to your support tickets;
  • take payment for your plan and keep the billing records the law requires;
  • keep the service secure, prevent abuse, and diagnose problems;
  • measure how our marketing site performs and improve it, as described under Cookies and analytics.

We do not use your monitoring data to build a profile of you, and we do not use it for advertising.

Where the GDPR applies, we rely on these legal bases to process your data:

  • Contract: to provide the service you signed up for, including running your checks and sending your alerts.
  • Legitimate interests: to keep the service secure, prevent abuse, and understand how our site is used, balanced against your rights.
  • Consent: for optional analytics and advertising cookies, where consent is required. You can withdraw consent at any time.
  • Legal obligation: to keep billing and tax records, and to respond to lawful requests from authorities.

Cookies and analytics

The app uses a small number of essential cookies to keep you signed in and to keep the service secure. These are always on because the service cannot work without them.

On our marketing pages we may also use third-party tools to measure traffic and the performance of our advertising. These may include Google Analytics, Google Ads, and the Meta (Facebook) Pixel. Where the law requires it, we set these only after you agree, and you can change your mind at any time. You can also block cookies in your browser or opt out through the tools each provider offers. Blocking optional cookies does not affect your monitoring or your ability to use the app. Our Cookie Policy lists every cookie we use, what it is for, and how long it lasts.

Who we share with

We do not sell your personal data, and we do not pass it to anyone to use for their own purposes. We share data only in two cases: with the service providers who help us run PingArk, and where we are required to by law.

The providers we rely on act on our instructions as our processors, and each covers a specific job:

  • DigitalOcean provides our servers and managed databases.
  • Cloudflare sits in front of the service for delivery and security.
  • Our email delivery provider sends account, alert, and support email.
  • The analytics and advertising tools named above, for our marketing pages.
  • The notification channels you choose (for example Slack, Discord, Telegram, or a webhook you configure) receive the alerts you ask us to send there.

Payments are a separate case. Paddle is our merchant of record: it is the authorised reseller of PingArk, so when you buy a paid plan you are buying from Paddle rather than from us. It collects your payment and billing details directly, holds your card details, and decides how it handles that data under its own privacy notice. It is not acting on our instructions when it does, so it is an independent controller of that data rather than one of our processors. We receive only what we need to run your account: a customer reference, your plan, and the status of your subscription.

We may also disclose data if the law requires it, to comply with a valid legal request, or to protect the rights, safety, and property of PingArk, our customers, or the public. If PingArk is ever involved in a merger, acquisition, or sale of assets, your data may transfer as part of that deal, and we will tell you before it does.

Where we host

We host your data on servers in Europe. Some of the providers above may process limited data outside Europe (for example our payment provider or an analytics tool). Where that happens, we rely on the safeguards those providers offer for international transfers, such as standard contractual clauses.

Retention

We keep your monitoring data for as long as your account is active, within the limits of your plan. Ping history is retained according to your plan, from 30 days on Free up to a year on our largest plan, and each check also keeps up to a plan-based number of its most recent events. History is pruned automatically once it passes either the day window or that per-check cap, whichever comes first.

If you move to a smaller plan, history beyond the new window is kept for a 30-day grace period before it is removed, so you have time to upgrade again or export it. You can export your checks and delete your account at any time. Deleting your account removes its checks, pings, and personal data, except records we must keep to meet a legal obligation, such as billing and tax records, which we keep for the period the law requires and then delete.

Your rights

Depending on where you live, you have rights over your personal data. These include the right to:

  • ask for a copy of the data we hold about you;
  • correct data that is wrong or out of date;
  • ask us to delete your data;
  • receive your data in a portable form, or ask us to send it to another provider;
  • object to or restrict certain processing;
  • withdraw consent you have given, without affecting processing that already happened.

To exercise any of these, write to privacy at pingark dot com . We will respond within the time the law allows. You also have the right to complain to your local data protection authority if you are not happy with how we have handled your data.

Security

We protect your data with encryption in transit, hashed passwords, and access controls that limit who can reach it. Your ping URLs and API keys are capability secrets: anyone who holds one can ping or call the API on your behalf, so treat them as passwords and rotate them at any time from your dashboard. No online service can promise perfect security, but if a breach ever affects your personal data, we will act quickly and tell you and the relevant authority where the law requires it.

Children

PingArk is a tool for developers and businesses and is not intended for children. We do not knowingly collect personal data from anyone under 16. If you believe a child has given us their data, write to us and we will delete it.

Changes to this policy

We may update this policy from time to time as the service or the law changes. When we make a material change, we will update the date at the top and, where appropriate, tell you by email or in the app. Using PingArk after a change means you accept the updated policy.
